TEAM MANAGEMENT
Manage your growing sales team more effectively. If you are building a sales team and you want to share leads with any of your team members or associates, LMS has built-in ways to support that goal:
Assign any lead to a particualr team member, email it to them. At any time in the future, you can filter your database on all leads assigned to a team member and call them to work through the leads and see how they did on each lead you provided. You can filter on a batch of leads and then "peel off" blocks of leads into one or more export files which you can then email to various team members. Each batch you export can be automatically assigned and flagged with the team member's name.
A common concern for many team leaders and sales managers is how to get each of their agents to present a consistent, professional company image to the public. One way LMS helps with that is the Team Manager Email functions. With this feature, you can:
Create pre-defined email messages for your team. Insert variables into the messages that auto-fill at send time with data from the prospect record as well as standardized eCard signature block information that is entered by each agent into their copy of LMS. Then you can export all of your carefully prepared messages to an LMS specific file that your agents can IMPORT into their copy of LMS. These messages CAN be locked so the team member cannot change them. This way, you can have greater control over the image quality and consistency that your whole team presents to the public when they send marketing emails that promote your product or service. AUTO TIME ZONES
Never mention time zone differences to a prospect again! Have you ever been on the phone with a prospect, scheduling an appointment and found yourself doing time-zone math in your head or out loud with the prospect, as in: "So, what time zone are you in? Ok. Let's see, you're in Pacific and I'm in Eastern so that means if I call you at 6 PM my time it will be uh ... 2 .. no uh ... 3 PM your time. Is that a good time?" VERY unprofessional!
Since LMS is ALWAYS aware of where YOU are in relation to your prospect, you never again need to mention anything but HIS time! LMS performs all time differential calculations automatically. AUTO CALL-BACK ALERTS
Never miss another call-back appointment! The LMS Call Back Alert feature will prevent you from EVER missing another call back. Once per minute, it scans all the Prospect, Closing, Team/Customer and Task folders for a call back or critical task that you have scheduled for the next X minutes. The actual alert lead time can be set to anything from 1 to 99 minutes.
For those rare, EXTREMELY critical call back appointments, you can even create a BACKUP reminder in Outlook with a single button click!
SALE POINT MILESTONES
Create your own codes for tracking sales milestones. You can create your own unlimited list of sales point milestone codes, and flag any prospect with any of those codes. Then you can filter on that code field and get a list of every prospect who has reached a certain point in the sales process. Once you have such a list, you can initiate a number of actions that will apply to all such prospects: print a list, call them all, email them all, update them all or schedule each of them for an event or other action -- or even delete them all at once.
EVENT MANAGEMENT
Three clicks can setup a prospect for a pre-scheduled event. If your marketing group or team holds regularly scheduled events like meetings, conference calls or web cast seminars, you can set up the schedule for those events in the LMS Event Manager.
Once set up (normally a one time task), you can then display a properly grouped selection list on the prospect record WHILE you speak with the prospect and let him know that you have events on a particular day and time, then click on the one they choose and they are instantly scheduled for attendance. These requirements are divided into "Minimum" and "Preferred". LMS will run on the minimum setup but we don't recommend it because as soon as your prospect database gets bigger than a few hundred leads, you might begin to see performance degradation. Faster computers are so inexpensive, we recommend that you get one and dedicate it to your business ONLY.
Recommendations for safe, effective management of your business records and tools:
Avoid letting others (especially very young people) use your business computer.
Avoid downloading music and/or games onto your business computer. Using another computer for those kinds of on-line recreation will go a LONG way toward securing your critical BUSINESS tools and data -- not to mention helping YOU stay focused on Revenue Producing Activity (RPA)!
The easiest way to ensure that YOU are the only user is to place a password on all active user accounts and, of course, do NOT reveal that password to anyone. Call us if you need help.
If you are in the market for a new desktop computer, we recommend that you avoid buying ANY of the major brands. ALL of the major brands will arrive with all kinds of junk pre-loaded -- most of which you will never use. Much of that junk is only there for advertising anyway and some of it is a serious threat to your personal and financial privacy. An APC Backup Power Supply -- the cheapest and best insurance you can buy for your business computer. You need one that is able to run your computer and your monitor only for at least 9 minutes in case of an electric power loss in your area. If you have questions about this, please call LMS Support. A functional internal or external fax modem to support the LMS Auto-dialing feature. Most new computers you can buy today already include such a device.
